Welcome wonderful vendors! This year, we invite you to sell your wears within our vendors tent. There are a couple of changes this year to how things work and improvements. Please read below for more information, we hope to see your application!

Cost to vend at Core Element.

A 6ft table to vend for both Saturday / Sunday is £70

A 6ft table to vend for Saturday OR Sunday is £40

Dealers are welcome to hold off on purchasing an attendance ticket until they have their application results. Tickets are always held back for applications.

​

Deadlines:

Our vending application is open until the 31st of March.

Applicants will get a response to their application on the 25th of April

Successful applicants must pay their table / attendance / insurance fees by the 10th of May.

Unpaid tables will be offered to vendors on our waiting list.

All insurance documents, if the vendor has them, must be presented before the 10th of May.

 

Demand:

A huge part of why Core Element exists, is to extend another opportunity for community vendors to sell to the community. As we expand our attendance numbers, we will increase the amount of vendor tables and eventually, upgrade to stalls. Right now however, we cap the amount of vendors to be proportionate to our attendance. Too many vendors could mean that most vendors are at risk of making a loss.

The vendors tent is also curated. Our curation process looks at the goods sold, new and veteran businesses alike are accepted. We are a fantasy, creature and nature themed & focused festival, therefore we prioritise goods that reflect the ethos. That doesn’t mean you MUST sell items that fall within those parameters, they are simply preferred. Our curation also looks at how much of one item is being sold throughout the den. For example: Artwork, garments, plushies, figures, wooden items, 3D prints, commissions, pin badges, shoes, ect. We hope to ensure everyone stands out amongst the vendors. This means that our den will never have an oversaturation of one item category. This boosts sales for all vendors.

 

Last year, we had 2X the amount of applications we could take on. We have increased our capacity this year, but still have very limited spaces available. If your application is declined, it is not and will never be a reflection on your business, talent or goods. It is simply because we do not have the space, and have curated the vendors tent to match the criteria matched above.

Assistants:

Vendors can allocate one attendee to be their table assistant.

Only the vendor and assistant are allowed behind the vending table. Both vendor and assistant will be given a bright, identifying wrist band and lanyard. This way, it's far easier for our staff to make sure whoever they see behind the vending tables, should be there.

Requirements to vend:

We require you to have vendors / sellers insurance. If you do not have insurance, no sweat! We have events insurance that allows a vendor to be added onto the policy for the duration of our event. It is £25 to be insured as a vendor under our insurance.

Food items:

You are allowed to sell food items, provided you have the appropriate certification and licenses to sell the items. Refrigerated items would only be acceptable if you travel in a refrigerated vehicle and have the facilities to be able to keep the items refrigerated 24/7. A variety of handmade food items can be sold without refrigeration, provided they are non-perishable or shelf-stable. Such as baked goods without cream fillings, jams, jellies, pickles, candies, and dry mixes.

Changes to the tent:

Last year, we hired a company to erect their brand new tent. Unfortunately, erection of the tent took far longer than both they and we thought. This caused delays. Plus, the light inside the tent was less than ideal. Therefore, this year we are switching to a marquee. White lining, LED tube lights along with themed coloured lights… for a bit of pazzaz! The LED tube lights mock daylight and are not harsh on the eyes. Coloured lights can be positioned or switched off by the vendor should they wish. We hope to make the dealing experience as comfortable as we can.

The Marquee will have flooring and fans. The location of the vendor's tent will also be closer to and tucked into the forest line, which will decrease temperatures should the weather be hot.

ALL tables are 6ft this year.
 

Arrival, preparations and teardown:

Vendors should arrive on the Friday and will be permitted to set up at their leisure between the hours of 14:00 - 19:00. Vending does not commence until Saturday. Vendors who cannot attend Friday setup, will be allowed to setup very early on Saturday.

Vending hours are:

12:00 - 18:00 Saturday
12:00 - 17:00 Sunday

Please pack down from 18:00 on Sunday. You have until 19:00 to vacate your goods. From then on, the tent will be used for another event.

If you cannot arrive on Friday, let us know. We can arrange for you to setup Saturday morning.

Setup for Sunday dealing can commence Saturday evening, once the table has been cleared. Or, early Sunday.

 

Vendors may build their displays up to 2.3meters high.
Anything higher, or structures that overhang or need additional supports, must be proposed to us for review. We aren’t here to tell you that you can’t create an awesome display, quite the contrary! We want your display to look as awesome as possible. We just need to ensure the structure is safe.

 

The tent will be under supervision 24/7 by our security team. We however, advise not leaving  the majority of your stock within the vendors tent. If you wish to use one of our vans for storage, please email us ahead of time to let us know. Alternatively, advise a member of staff that you wish to use a van for stock storage.

Vendors will receive additional identification for themselves and their helper should they wish to have one.​​​

Got an idea for something a little different?

Here are Core Element, we want to support you in your creativity. If you want to sell your wares in a unique way, we want to hear about it! We allow sellers to be on foot, or bring their own setup. We can still only allow a certain number of sellers, but we aren't contained within a vendors hall. If you want to build your own, unique setup to sell your wares, the sky is the limit.​

 

We require that you are insured to sell as a vendor. You may already have your own insurance, or we can place you under our insurance for a fee. We of course, need to know what you are selling and if you have the certifications to sell specific items, like food. If you have your own setup build, we need to inspect it to ensure it is structurally sound.
